A calendar built for one-off events

Some work doesn't fit a weekly roster. RosterMate's Events page gives multi-day engagements their own calendar — click or drag to create an event, then drill into each day to configure exactly who you need, where, and when.

Separate from your rosters — events run on their own calendar, so festival and conference staffing never clutters your standard weekly schedule.
Configure every day — each day gets its own tab with its own areas, positions, times, and capacity.
Fill shifts your way — assign staff directly with drag-and-drop, or open positions for capacity-based bidding with waitlists.

How event staffing works

From an empty calendar to a fully-staffed event in three steps.

Create the event

Click or drag on the month calendar to create an event across a date range. Give it a name and colour so it's easy to spot at a glance.

Configure each day

Open the event and use the per-day tabs to add areas and positions, set start and end times, and choose how many people each position needs.

Assign or open for bidding

Drag staff onto positions, or switch slots to bidding and publish. Employees apply from the app and you confirm — extras go to a waitlist.

Everything you need to staff an event

Purpose-built tools for one-off, multi-day engagements.

Calendar Planning

See every event on a clean month view. Click or drag to create new events and spot multi-day engagements at a glance.

Per-Day Configuration

Every day of the event is independent. One tab per day means different areas, positions, and times whenever you need them.

Areas & Positions

Break each day into areas, then define positions with the times and headcount you need — from a single greeter to a full bar team.

Capacity Slots

Set a capacity per position and RosterMate creates a slot for each one — so you always know exactly how many people are still needed.

Shift Bidding & Waitlists

Open positions for bidding and let staff apply. Confirm the ones you want; extras are waitlisted automatically as ready-made backups.

Employee App Integration

Event shifts and bidding opportunities show up in the employee app next to regular shifts, so staff apply and stay informed from their phones.

Event staffing FAQs

Common questions about staffing events with RosterMate.

Events is a calendar-based tool for staffing multi-day engagements like festivals, conferences, and client bookings. You create an event on the calendar, configure areas and positions for each day, and fill the shifts with assigned staff or capacity-based bidding — all alongside your normal weekly rosters.
The roster handles your recurring weekly schedule. Events handles one-off, multi-day engagements that span several days and need their own areas, positions, and times per day. It runs as a separate calendar so event staffing never clutters your standard rosters.
Yes. Each day of an event is configured independently. The event detail view shows one tab per day, and you can set different areas, positions, start and end times, and capacities for every day of the event.
For each position you set a capacity — for example 30 slots. You can switch slots to bidding so employees apply for them. Accepted applicants get their own confirmed slot, and any extras are placed on a waitlist rather than being rejected, so you have backups ready if someone drops out.
Yes. Event shifts and bidding opportunities appear in the employee app alongside their regular shifts. Staff can view their assigned event shifts and apply for open bidding shifts straight from their phones.
No. Event staffing is part of RosterMate at the same simple $8 per employee per month — there are no add-on fees for using the Events calendar.
