Selecting Your Province
To get started, head into the Settings tab and select Public Holidays from the left-hand sidebar. At the top of the page, you will see a dropdown for "Location's Province." Select the correct province for your specific location.
Automatic Schedule
Once the province is selected, Rostmate automatically populates your schedule with a list of public holidays for the current year and the following year. These are displayed in chronological order.
It is important to review this list to ensure everything looks correct for your location.
When to Add Manually
If for any reason a public holiday is missing from the automatic list, you can add it manually.
How to Add
- Enter the Holiday Name.
- Select the Date using the date picker.
- Click Add Holiday.
Notifications
On the Timesheets page, Rostmate identifies when a date is a public holiday and displays a notification. You may see a warning stating that the public holiday table is unavailable.
Unlocking the Table
The system can build the public holiday table for you, but it requires approved data first. To unlock the table:
- Approve the Previous Day's time records.
- Approve the Current Day's time records.
Click the big tick icon in the bottom right corner of the page to approve days.
Adding Employees
Once unlocked, you can add rows to the table for each employee. Important: Only add employees who would normally work on that day. Do not add employees who do not normally work.
Did Not Work (Average Hours)
If the employee normally works this day but did not work on the holiday:
- Select "Did Not Work".
- Enter the average number of hours they normally work.
- The system uses this to calculate their relevant daily pay.
Did Work (Day in Lieu)
If the employee actually worked on the public holiday:
- Select "Did Work".
- The system will record that the employee is entitled to a Day in Lieu.
Table Tools
Delete Row: Right-click a row and select "Delete Row" to remove an employee.
Clear All: Use the "Clear All" button to reset the entire table.
The Autofill Button
Manually building the table can be time-consuming for large teams. The Autofill button can populate the entire table for you automatically.
Prerequisites (Workday Patterns)
To use Autofill successfully, you must have Workday Patterns filled out for your employees. This allows the system to know exactly who normally works on that specific day. Workday patterns are also required to automate leave requests.
